In my previous blog post Workflow decision based on financial dimension in Microsoft Dynamics 365 for Finance and Operations, discussed a scenario of routing vendor invoice based on defined approver on the workflow configuration. In this blog post will cover another scenario in the same context, assuming that the IT Department manager has been changed, so that the workflow configuration need to be updated as we can consider the approver is hard defined (coded) in the workflow configuration. In order to avoid changing the workflow configuration, we can use participant approver in the workflow.

The participant is an option in the workflow assignment type that could be used to call the approver from the Dimension value configuration. Hence, to map this requirements to Microsoft Dynamics 365 for Finance and Operations as illustrated in the following diagram, define dimension’s owner (manager) on each financial dimension value, then configure Vendor expenditure reviewer on the legal entity level and identify which financial dimension will be used for approvals, finally on the workflow configuration use participant for approvals.

To setup the financial dimension owner go to General ledger| Chart of accounts| Dimensions| Financial dimensions. Move to Financial dimensions values, under General fast tab, select Owner ID.

Go to Accounts payable| Setup| Policy setup| Vendor invoice expenditure reviewers, identify legal entity, move to organization distributions and mark Department financial dimension as Yes.

On the vendor invoice workflow True decision assignment to Participant.
